PAIA Manual
This manual is published in terms of Section 51 of the Promotion of Access to Information Act 2 of 2000 (PAIA). It describes the records held by CronKode (Pty) Ltd and how members of the public may request access to those records.
1. Introduction
The Promotion of Access to Information Act 2 of 2000 (PAIA) gives effect to the constitutional right of access to information held by both public and private bodies. CronKode (Pty) Ltd is committed to transparency and to facilitating access to information in accordance with PAIA and the Protection of Personal Information Act 4 of 2013 (POPIA).
This manual serves as a guide to the records held by CronKode (Pty) Ltd and the procedures for requesting access to such records.

5. Records Held by CronKode (Pty) Ltd
CronKode (Pty) Ltd holds the following categories of records:

- Tax records and correspondence with SARS
- Contracts and agreements with clients and suppliers
5.2 Client and Operational Records
- Client onboarding information
- Subscription and billing records

5.3 Personal Information Records
- Contact details of clients and enquiries
- User account information on FibreOps platform
- Field technician records (held on behalf of ISP clients)
- Email correspondence
5.4 Technical and Product Records

- Security and access control records
6. How to Request Access to Records
Any person wishing to request access to records held by CronKode (Pty) Ltd must submit a written request to the Information Officer. The request must be submitted using Form C as prescribed under PAIA, or a substantially similar written request containing the following information:
- Full name and contact details of the requester
- Description of the record requested
- The form in which access is required (copy, inspection, etc.)
- Reason for the request (where applicable)
- Proof of identity

7. Processing of Requests

CronKode (Pty) Ltd reserves the right to refuse access to records in circumstances permitted by PAIA, including where disclosure would unreasonably harm the commercial interests of the organisation or the privacy of third parties.
8. Request Fees

CronKode (Pty) Ltd currently waives the request filing fee. Reproduction costs may apply for large volumes of records.
9. Grounds for Refusal
CronKode (Pty) Ltd may refuse a request for access to records on the following grounds as permitted by PAIA:
- The record contains personal information of a third party who has not consented
- Disclosure would harm the commercial interests of CronKode (Pty) Ltd
- The record is protected by legal privilege
- The record contains confidential information supplied by a third party
- Disclosure would be in breach of a legal obligation of confidentiality
10. Third Party Notification
Where a request concerns records that contain information about a third party, CronKode (Pty) Ltd will notify that third party and provide them with an opportunity to make representations before a decision is made.
11. Appeals and Complaints
If a requester is dissatisfied with a decision made by CronKode (Pty) Ltd regarding their PAIA request, they may:
- Apply to a court for relief in terms of Section 78 of PAIA
- Lodge a complaint with the Information Regulator of South Africa

12. Data Subject Rights Under POPIA
In addition to PAIA rights, data subjects have the following rights under POPIA regarding their personal information held by CronKode (Pty) Ltd:
- Right to access their personal information
- Right to request correction of inaccurate information
- Right to request deletion of their personal information
- Right to object to processing of their personal information
- Right to lodge a complaint with the Information Regulator
All such requests must be submitted to hello@cronkode.co.za and will be responded to within 30 days.
13. Updates to This Manual
This PAIA Manual will be reviewed and updated annually or whenever significant changes occur in the organisation's structure, operations or information holdings. The current version will always be available at cronkode.co.za/paia.
